The Executive Assistant will serve as a liaison to the Board of Directors and Senior Directors at Word on Fire, and assist the Founder with matters related to Word on Fire (travel, schedule, etc.
).
The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and community-oriented.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
The Executive Assistant will have the ability to work independently on projects and must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion.
The ideal candidate will be professional, polite, attentive, and work with accuracy.

Full-time Responsibilities Executive Support Complete a broad variety of administrative tasks for the Founder & CEO including:
managing an extremely active calendar of appointments; completing expense reports; composing and preparing confidential correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Plan, coordinate, and ensure the CEO's schedule is followed.
Communicate directly, and on behalf of the Founder and CEO, with Board members, donors, and others, on matters related to the CEO and Founder's office Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature; help determine an appropriate course of action, referral, or response.
Provide a bridge for smooth communication between the CEO's office and internal departments; demonstrate leadership to maintain credibility, trust and support with senior management staff.
Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
Prepare reports, presentations, and data, as well as maintain files, records, and correspondence for meetings Board Support and Liaison Serve as the CEO's administrative liaison to the Word on Fire Board of Directors Assist board members with travel arrangements, lodging, and meal planning as needed Maintain discretion and confidentiality in relationships with all board members Comply with applicable board bylaw rules and regulations in board committee matters Senior Management Liaison Participate as an adjunct member of the Senior Directors, including assisting in scheduling meetings and attending meetings when needed Assist in coordinating the agenda of senior management team and all-staff meetings Facilitates cross-departmental coordination of travel and outreach plans Communications, Partnerships, and Outreach Ensure that the CEO and Founder's bios are kept updated and respond to requests for materials regarding the CEO, Founder, and the organization in general Edit and complete first drafts for written communications to external stakeholders Strategic Initiatives Coordinate the CEO's outreach activities with the Senior Directors Follow up on contacts made by the CEO and support the cultivation of ongoing relationships Write and edit acknowledgement letters from the CEO to donors Requirements Commitment to the mission of Word on Fire Bachelor's degree or equivalent experience 5-10 years of experience supporting C-Level Executives, preferably in a non-profit organization Experience and interest in internal and external communications, partnership development, and fundraising Ability to work an occasional evening/weekend Expert written and verbal communication skills Strong organizational skills that reflect ability to perform and prioritize multiple tasks with excellent attention to detail Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response Desired Qualifications Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors A proactive approach to problem-solving with strong decision-making capability Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Google workspace Emotional maturity Both a highly resourceful team-player and an extremely effective independent contributor Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment Familiarity with the work of Bishop Robert Barron and Word on Fire Mission Word on Fire Catholic Ministries is a nonprofit global media apostolate that supports the work of Bishop Robert Barron and reaches millions of people to draw them into--or back to--the Catholic faith.
